PAYMENT: A deposit of £100 is payable when booking and the balance is payable four weeks prior to the start of your holiday.
CANCELLATION OR AMENDMENT OF HOLIDAY BOOKING: If you are forced to cancel or amend your holiday booking due to unforeseen circumstances please inform us immediately, preferably by telephone but cancellation must be confirmed in writing or by email. If you cancel your booking more than eight weeks prior to arrival date we reserve the right to retain the initial deposit but will refund the balance of any money you have paid to us. If you cancel your booking less than eight weeks prior to arrival date we will endeavour to re-let the property but you will remain liable for full or part payment of the balance depending on the amount of the agreed period it has been possible to re-let however the deposit is non-refundable. You are advised to take out appropriate cancellation and travel insurance for your holiday.
BOOKING ALTERATION: We would not expect to have to make any changes to your booking but sometimes problems occur and we reserve the right, in the interests of safety or any other reason beyond our control, to cancel or alter arrangements made for you. In the unlikely event that this happens we will contact you as soon as is reasonably practical and inform you of the cancellation or the change to your booking and, if it is necessary to cancel your booking, we will refund any money you have paid us for your holiday.
If we have a request from you to change the dates of your holiday booking after confirmation has been issued, subject to the change being requested more than 6 weeks prior to the commencement of the holiday and there being availability for the new dates there will be no charge for the change in booking.
ARRIVAL AND DEPARTURE: Your barn will be available after 3pm on the day of arrival and must be vacated by 10am on the morning of departure.
ACCOMMODATION: No more than the maximum number of persons, as stated by Holpen Barns for each cottage, is allowed to occupy the cottages without prior arrangement.
AMENITIES: The use of the accommodation and amenities are entirely at the hirer's risk and no responsibility can be accepted for loss or damage to person or personal belongings. No liability is accepted in respect of damage to or loss of such property except where the damage or loss is caused by our negligence. No responsibility can be accepted for damage to, or loss of, any vehicle or its contents.
YOUR OBLIGATIONS: You must take good care of the cottage and its contents and leave them in the same condition as they were in on your arrival. You will be liable for any damage, breakages or losses which are incurred due to your non-compliance with this condition. Minor breakages are not usually charged for as they are considered reasonable wear and tear but should be reported before departure.
PET POLICY: Pets are welcome at Holpen Barns but please make sure dogs are either on a lead or fully controlled by you when in the fields, woods or close to any of our animals. Please do not allow pets into the bedrooms.
COMPLAINTS PROCEDURE: Every effort has been made to ensure that you have an enjoyable and memorable holiday. If, however, you have any cause for complaint it is important that remedial action is taken as soon as possible. Please inform us immediately if a problem arises so that it can be speedily resolved. Discussion of criticisms with us whilst you are in residence will usually enable shortcomings to be rectified straightaway.
DESCRIPTIONS: Whilst every effort is made to describe Holpen Barns accommodation fairly and also to anticipate possible changes, all information in our brochures and on the website is given in good faith and is correct at the time of publication but we cannot be responsible for changes beyond our control or which may become known after publication without reasonable opportunity for updating the website.
